How to Manage Your Services and Treatments in EXACT
Managing your services and treatments efficiently in EXACT isn’t just about keeping things organised—it’s about improving productivity across your entire dental practice, from clinicians to reception and admin teams.
Every treatment you chart in EXACT is known as a service. Services are also used for any stock that your dental practice may sell. Managing your services ensures accuracy in patient records, streamlined workflows, and consistency in billing and inventory management.
The Menus
Simply clicking on services/stock from your configuration menu (configure – services/stock) will reveal three options: View Services, Add New Service, and Add New Stock Item. From here, you can jump straight into adding a service, adding a new stock item, or viewing all the services in your system.
Viewing Your Services
By selecting your existing services, you have access to search, select, edit, and update any services you already have within your EXACT system.
You can use the Code field at the bottom of the service list to search for services in your database. Once you have located the service you’re looking for, double-click it to open a new window with all the available service options.
These options will consist of:
⚙️ Chart Item: This is where you manage the core settings of the service, such as its name, code, and description.
⚙️ Advanced Charting: Contains additional or optional settings that allow for more specific configurations.
⚙️ Stock Item: For managing any stock-related configurations associated with the service.
⚙️ Appt Booking Service: Settings related to how the service can be booked in the appointment calendar.
⚙️ Fees: Where you set and adjust the pricing for the service.
⚙️ Notes: A section to add any relevant clinical notes or invoice/estimate details.
Updating a Service
Whether you’re adjusting the price of a treatment or stock item, updating a description, or changing a chart graphic, you'll need to edit a service.
As mentioned above, use the configuration menu to access all your service items and search for the service you want to update.
Fees

The pricing of services is managed within each service under the Fees tab. Therefore, if you need to adjust the price of a treatment or stock item, simply increase or decrease the price.
Alternatively, if you are introducing a general price increase, you can use the Fee Updates option from the main service list to adjust your prices in bulk.

Creating Services
When you're offering a new treatment to your patients, you will need to create a new service to represent this treatment in EXACT.
Using the Add New Service option via the configure – services/stock menu, you will be presented with the Create a Service window, with the Chart Item tab open, ready for you to start creating your new service.

Creating Stock
Adding new stock items to your system is much the same as creating a new service. However, by selecting the Add New Stock Item option via the configure – services/stock menu, you will be presented with the Create a Stock Item window with the Stock Item tab open and awaiting your input.
